Operations Manager- Full Time

Opera Roanoke is seeking an energetic, driven, organized individual fill the Operations Manager position. This position is essential to the organization’s success and requires someone with excellent organizational skills, keen attention to detail, and the ability to handle a variety of tasks simultaneously. 


This person will be primarily responsible for handling all day-to-day operational duties including management of Opera Roanoke’s box office.  Occasional evening and weekend work will be required during production periods and special events. 


This position reports directly to the General Director and provides support for both administrative and artistic functions. 


A knowledge of opera or classical music is not a requirement for this position but a background in arts administration, non-profit management, or other performing arts related positions would be helpful. 


Desired start date: June 1, 2022


Primary Responsibilities 


Administrative 

  • Processing all incoming invoices and outgoing payments in coordination with external accountant
  • Creating and distributing financial reports for board meetings in coordination with external accountant
  • Preparing and distributing board meeting documents
  • Sending reminders of monthly board meetings
  • Maintaining accurate donor records in CRM software (Choice)
  • Sending thank you letters and tax receipts to donors
  • Assisting with the preparation and mailing of annual appeal letters and other direct mail
  • Assisting with scheduling and coordinating Opera Roanoke's educational and civic engagements
  • Answering phone calls and interfacing with patrons through the box office
  • Conducting research and analysis on areas of interest to the General Director


Artistic

  • Executing contracts for all visiting artists during productions
  • Coordinating and booking housing and travel for visiting artists
  • Assisting the GD in booking and communicating with performance venues
  • Manages the box office for all ticketed events
  • Distributing marketing materials 
  • May be asked to transport visiting artists to and from airport to housing accommodations


Qualifications

3 years relevant experience required. Bookkeeping experience with QuickBooks Online is preferred. Proficiency in Microsoft Word, Excel, Google Drive and Google Docs required. Experience in database management. Excellent problem-solving skills, communication skills, both written and verbal, and ability to work independently are all necessary attributes. Graphic design experience with online programs like Canva are a plus. 


Reliable transportation and a valid driver's license are required. Ability to lift up to 40 lbs. required.  


Compensation and Benefits

  • $32,000-35,000 annual salary commensurate with experience
  • Health and dental insurance - company pays 80%
  • 2 weeks paid vacation
  • Paid time off for all federally recognized holidays
  • Paid parking
  • Normal office hours are M-F 9am-5pm


About Opera Roanoke

Opera Roanoke is a year-round performing arts non-profit with administrative offices located in downtown Roanoke. Programs include 2-3 mainstage performances per season, a Young Artist program for regional college students, and various engagement and educational activities throughout the year. The annual budget is approximately $400,000.

  • Helping to distribute promotional materials
  • Picking up artists from airport or train station
  • Hosting an artist in your home during productions – generally 1-2 weeks
